
In
many companies, phone cards are under little or no control. Nobody
is sure who has them, what policies govern them, or why they were
issued to begin with. It is not unusual to find ex-employees still
using employer-provided cards and accounting to still be paying
the bills.
A
simple way to bring down costs on this telecom expense is to get
organized around a plan and then bring all your information up to
speed. Here is one way to do it:
- Determine
a point person or department to be in charge of approving, updating,
renewing and canceling phone cards.
- Create a
list of all the cards you are paying for and verify which cards
are required. Cancel any that aren't needed.
- Inform your
vendor that you will not accept responsibility for bills on any
phone cards that are not ordered through the correct channels
(see item #1).
- Review the
capabilities for your cards. Set restrictions where appropriate
such as for international calls or billing maximums.
- Create and
distribute internal policies regarding phone cards. Let the users
know they are being watched. This will change behaviors that are
costing you money.
- Check your
pricing. Many phone cards are outrageously expensive in today's
market. Going with a different phone card provider can save lots
of money.
